How does an engagement with MentX run?
An engagement starts with one result that matters to your business: a critical task that must not stop, or a process that must run without depending on one person. We choose the starting point with you, work with the people who hold the knowledge, capture it with its sources, and prove that it transfers — a colleague handles a comparable case on their own. Then you decide what comes next.
1. An intro conversation
Thirty minutes with the founders, no slides. You describe the person or the process your company depends on, the knowledge involved and the timeline. We tell you honestly whether and how we can help.
2. Choose the starting point
One expert or one process — we choose with you, based on four things: the value of the result, the urgency, access to the people who know, and their willingness to take part. The approach page lists the signals for each route. Whatever we choose, we agree the scope and the result before we start.
3. Map and capture
For an expert, the capture uses the meetings they already attend, a guided intake and real cases (how it works). For a process, we run a workshop with the people who do the work, walk a recent case end to end and attach the knowledge to every step (business process flow mapping). We use state-of-the-art AI tools where they help and build on the tools you already use.
MentX captures how your company really works: the knowledge of your key people and the processes they run. We offer both a hands-on service approach — mapping your processes and capturing the knowledge behind them, from meetings, workshops and a guided intake — and our own personality-aware knowledge base, with full source attribution, in your own Knowledge Space. We build on the tools you already use and add best-practice solutions where they fit.
4. Validate
The people the knowledge comes from review what was captured, correct it, and can strike anything. The expert keeps veto rights over his profile. The owner of the process decides which version is used.
5. Test the hand-over
Before the test we agree which comparable case a colleague will handle, what a correct result looks like and what help is allowed. Then the colleague does the work. What goes wrong shows what is still missing; we fix it and test again. An honest result counts, including when the test shows the knowledge is not yet transferable.
6. Hand over and decide what's next
The process gets an owner and agreed review triggers, and the knowledge stays in your company's own Knowledge Space or in your own tools. Then you choose: the next critical task, the next process — or stop, if the result is enough.
Who takes part?
| Role | What they do |
|---|---|
| Owner or sponsor | Sets the priority, makes time available and decides about the result |
| Experts | Share how they work and decide, and review what is captured |
| Colleagues | Take part in the mapping and handle the test case |
| Process owner | Releases the version in use and keeps it current |
| MentX | Facilitates, captures, structures and runs the tests with you |
What do we ask of your people?
Short, planned sessions instead of writing work. Experts demonstrate and explain; we do the capturing and structuring. We agree the time we need with you before we start, and we keep track of it, so nobody is surprised.
What we promise — and what we don't
- A clear scope and result, agreed before we start.
- Honest test results, including when a test fails.
- Knowledge that stays yours, with its sources.
We do not promise that a person becomes replaceable, time savings we cannot show, or software you do not need.
Can we start small?
Yes. One critical task or one process is a complete first engagement. It has value on its own, and it shows how the approach works in your company before you decide on more.
Do we need to buy software?
Not to start. We work with the tools you already have and add what fits your requirements — best-practice solutions from the market or our own knowledge base.
What does it cost?
That depends on the scope we agree. Founding partners work with us at founding-partner conditions. We discuss it in the intro call, once we know what you need.
