Business process flow mapping

Business process flow mapping is the practice of mapping how work flows through a business process from start to finish — its steps, roles, decisions, hand-overs and waiting times — usually together with the people who do the work. Its result is a process map. Its value lies in making the real flow visible, so the process can be owned, improved or supported with tools.

What is business process flow mapping?

The usual methods are workshops around a real, recent case, interviews with the people involved, and observation of the work itself. The tools range from a whiteboard to diagram software, and state-of-the-art AI tools can now transcribe a workshop and draft a first map for the group to check.

Good flow mapping starts from how the process runs today, includes exceptions and rework, and records the decisions behind each fork. It stops short of redesigning the process in the same session: improvement ideas are kept apart.

Not to be confused with process mining, which reconstructs a process from system event logs rather than with people. See process mapping vs process mining.

Why it matters for SMEs

For example: a family-owned installer maps order to delivery with sales, planning and a field team leader. The flow on the wall shows two informal checks nobody had ever named — both done by the same long-serving planner.

For SMEs, flow mapping is usually the most practical way to see a process, because much of the real work happens outside systems and in people's heads.

Business process flow mapping in the MentX approach

MentX captures how your company really works: the knowledge of your key people and the processes they run. We offer both a hands-on service approach — mapping your processes and capturing the knowledge behind them, from meetings, workshops and a guided intake — and our own personality-aware knowledge base, with full source attribution, in your own Knowledge Space. We build on the tools you already use and add best-practice solutions where they fit.

Business process flow mapping is step two of the approach — with flow mapping, state-of-the-art AI tools or other methods, practical and fit to the business. See business process flow mapping and how to run a process discovery workshop.
