Where does our knowledge live — and who controls it?

Your company does. Captured knowledge is stored in the European Union, in your company's own Knowledge Space — not shared with other customers and not pooled into a common model. Your company is the controller: you decide who may use it, you can export it, and you can have it deleted. Sovereignty is not only about where a server stands. It is about who decides.

Why is location not the same as control?

A data centre in the EU is a good start, and it is not the whole answer. What matters as much is who can access the data, which rules apply, which companies process it on your behalf, and whether you can leave with everything you put in.

Stored in the EU, under European data protection law

Your Knowledge Space is stored on infrastructure in the European Union and handled under the GDPR, from the first design decision. Processing of personal data from meetings and intake sessions happens on a documented legal basis, with a data-processing agreement as part of onboarding.

Who processes your data, and on which terms?

Some steps use specialised AI model providers — for example to transcribe, to extract statements or to answer a question. Which providers, where they process data and on which terms is written down in the data-processing agreement before any capture starts. Your knowledge is not used to train models outside your own Knowledge Space.

People who take part in a meeting but are not the expert are protected too: their words are filtered out before any AI processing, according to the participant policy your company sets.

You decide who sees what

Your company decides who may ask questions and who may open which sources. Consent is recorded before anything is captured and can be withdrawn item by item. The expert keeps veto rights over his profile.

You can leave with your knowledge

Your knowledge can be exported in open formats. Deletion reaches every place the knowledge lives — the knowledge base, the search index and the files — and you get a report of what was removed. At the end of a contract you choose: keep the export, or have the Knowledge Space deleted. Nothing is retained on our side.

A checklist for any knowledge tool

  • You know in which country your data is stored.
  • Every company that processes it for the provider is named in a written agreement.
  • Your data is not used to train models for anyone else.
  • You decide who inside your company may see which knowledge and which sources.
  • You can export everything in open formats, without asking permission.
  • Deletion is complete, and you get proof of it.

What if your knowledge already lives in your own systems?

MentX captures how your company really works: the knowledge of your key people and the processes they run. We offer both a hands-on service approach — mapping your processes and capturing the knowledge behind them, from meetings, workshops and a guided intake — and our own personality-aware knowledge base, with full source attribution, in your own Knowledge Space. We build on the tools you already use and add best-practice solutions where they fit. Knowledge that stays in your own tools stays under your own policies; we connect to it rather than copying everything.

Is everything processed inside the EU?

Storage is. For processing by AI model providers, the data-processing agreement states which providers are used, where they process data and on which terms. Ask us for the details in the intro call.

Who is the data controller?

Your company. MentX processes the knowledge on your behalf, within the agreement you sign.

Can someone ask to be removed?

Yes. Consent can be withdrawn per item, and deletion propagates through the knowledge base, the search index and the files.
