How is our company knowledge protected?
Company knowledge is only useful when it is safe. Access requires sign-in and is limited to the people your company names, with roles that give each person only what they need. Actions on the knowledge base leave a trail. Backups are encrypted and restores are tested. And deletion reaches every place the knowledge lives.
Access: only the people you name
Every user signs in. Roles separate what people can do: the expert reviews his own profile, curators confirm and correct knowledge, colleagues ask questions, administrators manage access. People who only ask questions do not see raw recordings unless your company grants it.
A trail of who did what
Reading and changing knowledge is logged, so you can see who accessed or changed what, and when. The same principle applies to the knowledge itself: every statement keeps its source and date.
Encrypted backups, tested restores
Backups are encrypted, and the server that makes them cannot read them back. Restoring from a backup is practised, not assumed.
Secure connections and hardened hosting
All traffic is encrypted. The platform runs on infrastructure in the European Union behind a firewall, secrets are never stored in code, and sign-up is protected against automated abuse. Security is reviewed on a regular basis, and findings are fixed before new features are added.
Privacy built into the capture
Consent is recorded before anything is captured. Participants who are not the expert are filtered out before any AI processing. Deletion propagates through the knowledge base, the search index and the files, with a report of what was removed. Details on where data lives: data sovereignty.
This website runs no code
mentx.be itself uses no cookies, no analytics, no tracking and no third-party scripts, under the strictest content security policy a website can run. It is a small thing, and it shows how we treat data by default. See the privacy notice.
Questions to ask any provider of an AI knowledge tool
Whether you work with us or with someone else, these questions separate a careful provider from a careless one:
- Who can sign in, and can you limit what each person sees?
- Is every read and every change logged, and can you see that log?
- Are backups encrypted, and when was a restore last tested?
- When you delete something, does it disappear from the search index and the files too?
- Which companies process your data on the provider's behalf, and is that written down?
- Is your data used to train models for other customers?
If the answers are vague, the protection probably is too.
What we ask of you
- Name an administrator for your Knowledge Space.
- Keep your own accounts secure.
- Tell us when someone leaves, so their access is removed the same day.
Where MentX fits
MentX is a personality-aware knowledge base. It captures the knowledge of a company's key person — from meetings and a guided intake track — into a living, temporal knowledge graph with full source attribution. The trust anchors behind it: every answer carries full source attribution; GDPR-native, EU-based; the expert keeps veto rights over his profile; data stays in your company's own Knowledge Space.
Can we get a data-processing agreement?
Yes. It is part of onboarding, before any capture starts.
Is our knowledge used to train AI models?
No. It is not pooled with other customers and not used to train anything outside your own Knowledge Space.
